• Most correspondence with faculty will only be done by Emily Carr email. You must regularly check your @ecuad.ca account for important information.

The Mailroom and Reception at Emily Carr are no longer able to support distributing uncollected assignments due to increased volumes and space issues. It is the University's expectation that faculty arrange to return student assignments during class time or during their regular office hours. Please plan this in advance.

All faculty must submit a course outline for their course(s) to the Academic Office. Course outlines are used for student transfer credit, grade appeals, and curriculum development.

All instructors are required to provide students with an updated course outline/syllabus, including the weekly schedule, at the beginning of the first class.

Course Outline Manager

Course outline templates are found in the Course Outline Manager which can also be accessed from myEC under My Applications.

You will need to log in with your usual Emily Carr email and password.

Outlines are saved as a PDF on the system and stored in the Academic Affairs Office archives as well as being published to the website under that course’s section.

Fall Reading/Studio Week

Fall Reading/Studio Week is from Monday, October 14^th to Saturday, October 19th. The University is open, but no classes are running. The University is closed on Monday, October 10^th for Thanksgiving Day holiday, but since it leads into the Reading/Studio Week there is no make-up day for October 10^th.

Foundation Assessment Week and Foundation Mid-term Grading

If you are teaching a Foundation course, there is a Foundation Assessment Week from October 23-28 to prep for Foundation year mid-term grading. Foundation classes run as normal during this week. (Mid-term grades are only for Foundation year) Foundation mid-term grades are due on November 6 by 12pm.

Last Day of All Regularly Scheduled Classes

The last day of all regularly scheduled classes is Monday, December 2, but the fall semester ends on Monday, December 16. The two weeks between the last class on December 4 and the end of the semester are booked up for stat holiday make-up days, exams, assessments, Foundation critiques, Visual Arts, ILUS, PHOT, FVIM, FMSA, ANIM, CGIA, NMSA and CRCP review panels, Design reviews and MFA/MDES Progress Reviews.

Faculty should be aware that, although, classes do not run during those weeks, they are normal working weeks and you will be scheduled to do reviews or review panels depending on which area you teach in.

Review Panels

Faculty teaching a Visual Arts, ILUS, PHOT, NMSA, FMSA, ANIM, CGIA and CRCP studio class will be required to take part in the 4th year review panel process from Tuesday, December 10 to Friday, December 13. Faculty will be scheduled according to their regular teaching schedule. To keep 2nd and 3rd year students involved over these two weeks, faculty may request deliverables, documentation, and written reflection from students via email or Moodle.

Your faculty profile is an important resource for students to get to know you. To update your ECU profile:

• Go to our Staff + Faculty hub
• Scroll to the QuickLinks section and click "Connect"
• Click “Log in” in the top right corner to edit your profile.
• Click “My Profile” in the top right corner once logged in
• Click “Edit” just beneath where the profile photo should be
• Type or copy and paste your biography and upload a photo. If you are copy/pasting, you’ll need to click on the “clipboard” icon that shows a “W” and paste it in the window that pops up.
• You may also upload your resume, portfolio, links, etc.
• Always remember to click “Save Profile” before you leave the page!

Release of All Claims Form for Field Trips

Deadline: Have your students fill in the Release of all Claims form before your field trip. Send forms to the Dean’s Admin Assistant.

Textbook Order Form

Deadline: Email completed forms to lpomerantz@ecuad.ca at READ Books, 2 months before the course start date.

Guest Artist Request and Payment Form
Note: You must get permission from the Dean or Assistant Dean in your Faculty before hiring a guest artist. Limited funds are available and each Faculty allocates funds differently. If you hire someone before your request has been approved there may not be funds available to pay them.

Note: The Audain Faculty of Art does not have funds available to hire guest artists for individual classes. Each area shares one guest artist per semester. Discuss possible artists with the colleagues in your area. Painting and Sculpture areas have a guest artist series called Twilight Hour. Photo and NMSA areas have a series called Resonance. Email Gwenessa Lam regarding guest artists for Art glam@ecuad.ca.

Review Panels

The Audain Faculty of Art recognizes the value of the panels as an essential part of the development of each student's art practice and learning experience. Dynamic Media 3rd and 4th year Review Panels

All 2DAN and FMSA students enrolled in 400-level 6 credit core class must participate in review panels at the end of Fall semester. The panels are mandatory and considered an essential part of the development of each student’s art practice and learning experience. Review panel info and time slots will be sent out by the Dean’s Office. Students are responsible for signing up for a posted review panel time slot and being prepared to present and speak about their work.

2024 Fall 4th year Review Panel dates will be emailed out at the beginning of the Fall 2024 semester.

CRCP Feedback Panels

Open to all 3rd and 4th year CRCP students, these panels are not mandatory and are offered each semester. Feedback Panels are an excellent opportunity to discuss a piece of writing, a studio project, a curatorial endeavour, or an initiative that spans across all these areas, with a panel of faculty from across Culture + Community.

CRCP Panels are scheduled on request, with reminders for students and faculty to sign-up mid-semester. Email jdickieson@ecuad.ca with questions.

The Audain Faculty of Art faculty and admin assistant allocate studio space to 4^th year students registered in a 6 credit VAST 400, VAST 410, VAST 420, PHOT400, ILUS 400 or ILU 401 course within the first two weeks of the Spring semester.

More information about studio space allocation will be sent directly to students via Chelsea O'Byrne (chelseaobyrne@ecuad.ca), and is subject to change in response to COVID-19 health and safety protocols.

Staff + Faculty Handbook

The Staff + Faculty Handbook for 2023-34 is available here.

You will find grading procedures and information outlined here, as well as organizational structure, and in-depth and miscellaneous information about the University. Grading information must be clearly defined in your course outline.

For new faculty, the handbook will be sent to you by Human Resources at the same time you receive your Emily Carr email address.

Illness

If you are ill, please contact Human Resources at hr@ecuad.ca or 604-844-3824.

If you have not arranged a substitute, HR will try to find one, or they will have a sign put up informing the students the class will be cancelled.

If you cannot reach HR, please contact Danielle Zandvliet at dzandvliet@ecuad.ca and your Faculties administrative assistant.

If you work out a plan with the students to reschedule a class, and have been given permission by your Dean, please contact Danielle Zandvliet at dzandvliet@ecuad.ca.
