To install Outlook on ECU-provided Macs, simply launch the pre-installed Software Centre application on your computer. Choose Outlook from the list of available software and click “Update”.

Outlook will then be downloaded and installed.

Once installed, launch Outlook and —when prompted — enter your ECU email address and MyEC password to begin using.

The Mac Outlook installer for both desktop computers and iOS devices is available from Apple’s App Store. Launch the App Store application, search for Outlook, and then log-in with your Apple ID to download and install.

Once installed, launch Outlook and —when prompted — enter your ECU email address and MyEC password to begin using.

As well, if the actual Outlook email application is not available, Outlook email is also online, as are most other Microsoft M365 applications. To access this, login into Outlook Live.

For most users, when Outlook is first launched, it will prompt to add an email account. In case this prompt doesn’t appear, simply do the following to add an ECU Outlook email account:

1.Launch Outlook.

2.Select “Accounts” from the Preferences menu under Outlook in the Finder menu.

3.Click on the “+” to add an account.

4.Enter your ECU email address and MyEC password to complete setting up your email account.

5.Click on Next to complete the setup

1. In MacOS Monterey and earlier , open System Preferences and select Internet Accounts.

Monterey (Mac OS 12.x)

In MacOS Ventura, launch System Settings to access Internet Accounts

Ventura (Mac OS 13.x)

2. Select Microsoft Exchange account and “Continue”.

3. Enter your “@ecuad.ca” email address and “Sign In”. This prompt will appear. Select “Sign In” again.

4. Next, enter your MyEC password when prompted.

5. Select Mail and Calendar, as well as other apps you’d like to use with this Exchange Account, such as Contacts and Reminders.

Select “Done” to add your Outlook/Exchange account to Apple Mail and Calendar as well any additional apps chosen in the previous step.

First, locate the Quick Access Bar.

The quick access bar is an important part of your Outlook experience. It is an easy way for you to move among the top Outlook features: Mail, Calendar, People, and Tasks.

The bar is in addition to the standard tabs and ribbons that provide you with an assortment of tools and options to help you use and manage Outlook. The Quick Access Bar is located at the bottom right-hand of the Outlook window.

Step 1
From the Home tab, click on the New Message icon. The keyboard shortcut to create a new email is Command + N.

Step 2
Enter the recipient's email address, subject, and content.

Under the recipient To: field, enter the e-mail address in full. If the recipient is an internal ECU contact, type in the name and an automatic list will then be visible. Select the name from the list and it will appear automatically in the recipient’s field.

Step 3
Once the content has been completed, click Send to have the email go out.

Step 1
Use the ECU Signature Generator to create a signature that will appear at the bottom of your email messages. Find the ECU Signature Generator here.

Step 2
Under the Outlook tab, click on Preferences and select Signatures.

Step 3
On the Email Signature tab, click on + (Add) and a pop-up window will appear. Please provide a name for the signature and complete all the fields provided.

Step 4
Under the Choose Default Signature options, make sure your own e-mail account is selected.

For New Messages, click on the new Signature name you have created from the drop-down menu. If you would like to have your Signature added to all your e-mail replies or forwards, you may also select your new Signature if desired.

Step 5
Copy the signature that you created with the ECU Signature Generator. Paste it into the Signature box.

Step 6
Once the signature content has been entered, click OK to save. The signature will auto-populate when you create a new e-mail.

The Reply, Reply All and Forward icons are available when you select on the desired e-mail message.

Reply, Reply All, Forward

Select the desired e-mail message you would like to reply to and click Reply. This will allow you to enter reply content within that e-mail and once completed click Send.
If you would like to include all the recipients as part of the reply, make sure you select Reply All.

If you would like to simply forward an e-mail to another recipient, click on Forward, select the new e-mail address and click Send.

There is also the option to CC (carbon copy) or simply to add additional recipient e-mail addresses. You can enter their e-mail addresses there or click on CC to search in the Address Book.

To create a new email template, complete the following:

1. Create a new email message

2. In the new email composition window, select the three "..." and then My Templates

3. On the right side, a tab named "My Templates" will appear. To create a new email template, select on + Template

4. Create a title and email message, then select Save

5. Your email template is now saved in your Outlook. Select it to attach it to your email composition window.

Tip: to add the My Templates add-in to your quick access toolbar, you will want to select the "..." and then Customize Toolbar. Drag My Templates to the tool bar.

Alternatively, if you would prefer to save your email template onto your computer, shared drive, or cloud space, you would want to create a new email and select File > Save as Template > Select chosen destination

This automatic reply can be found under the Tools tab (between Format and Window tabs), via a drop-down menu with Automatic Replies as an option.

Step 1
Click on the Automatic Replies icon and a pop-up window will appear.

Step 2
Select the Send automatic replies option and enter a time and date range.

Step 3
Under the content window, enter the information or the message that will be sent out automatically during the time frame selected above.

Step 4
There are two options available for content, one is for internal contacts within ECU and one is for external contacts outside our organization. Each option can sustain its own autoreply message.

Step 5
Click OK to save. Automatic Replies will be sent to each e-mail received during the time/date range specified.

NOTE: Apple Mail no longer supports adding shared mailboxes due to how those accounts were created. We also no longer support sharing of passwords for shared accounts. You must use the Microsoft Outlook application or the Microsoft Outlook Web application

If you are using the Outlook desktop application:

Step 1. With Outlook open, select Outlook > Settings

Step 2. Select Accounts

Step 3. Select Delegation and Sharing

Step 4. At the top, select Shared With Me and select the shared mailbox followed by the + sign

Step 5. Type in the shared mailbox account name and select it, followed by Add. If you have permission to the mailbox, then it should add successfully.

If you are unable to add or unable to see the shared mailbox, please submit a ticket or email ithelp@ecuad.ca detailing your issue.

If you are using the Outlook Web Application (OWA)

1. Sign into your personal Emily Carr email account on the Outlook Web application

2. Right click on Folders option > Add Shared folder or mailbox

3. Type in the name of the shared mailbox and select Add

In Outlook, appointments are not the same as meetings. Appointments are activities that you schedule in your calendar that do not involve inviting other people or reserving resources, such as a conference room or equipment.

From the Quick Access Bar, select the Calendar icon.

Step 1
Once the Calendar has been selected, click on New Event. This will open a new window in order to add all the details of the event or appointment.

The keyboard shortcut for a New Appointment is Command + N.

Step 2
Enter all the details required, such as a Title, Start Time, End Time, and location. You can add or invite attendees at this time to your appointment, by either adding their e-mail addresses or by searching via the automated address book.

Step 3
Once all the appointment or meeting details have been entered, click Send. This will automatically send the recipients all the information required to either Accept or Reject the appointment or event request.

Sharing Calendar & Assigning Permissions

1. In Outlook, select and right click the calendar you would like to share > Sharing Permissions

2. Select the "+" sign

3. Type in the name of the individual who you would like to assign calendar permissions, select them, and assign them the appropriate level of calendar access.

Note:
Edit: Can view, edit, and delete meetings or appointments
Delegate: Can view, edit, and delete meetings of appointments as well as create and respond to meeting requests on your behalf. This is ideal for executive assistants.

If you have not setup your Outlook calendar in the Outlook desktop application, then please visit your Outlook Online calendar.

Note: If the calendar owner did not provide you with the permission to view their event titles, then their events will be displayed as busy.

1. Open Outlook Calendar

2. Navigate to People's Calendars and right click or select the three "..." > Add Shared Calendar...

2. Type the name of the calendar owner, select them, and Open

Note: You can only move or copy calendar events that you have created. You cannot move or copy calendar events for another calendar unless you have the appropriate calendar permissions.

1. Right click on your event and select Move > Choose Folder... or Copy to Folder...

• Choose Folder - will move the event from one calendar to the other. It will not duplicate the event in both calendars.
• Copy to Folder - will copy the event into both calendars. The event will be shown in the current and other calendar.

2. Select the Calendar for which you want to move or copy the event

3. Once the calendar is selected, click OK. The calendar event should be moved or copied to the other calendar.

View a calendar in a new window

1. In the Calendar navigation pane, select the calendar or calendars you want to view.

2. Hover to the right of a calendar name until the ellipses (3 dots) display.

3. Select Open in New Window.

View calendars side-by-side

1. In the Calendar navigation pane, select the calendar or calendars you want to view.

2. In the Calendar navigation pane, select the two or three calendars you want to view.

Note: A minimum of two calendars and a maximum of three calendars need to be selected for the side-by-side view to display.

3. In the main menu, select View > the calendar period (Day, Work Week, Week, or Three Day) > Overlay.

Note: Month calendars do not display with the overlay function.

Close a side-by-side calendar

1.Select the calendar or calendars you want to close.

2.Select the x to close each calendar.

By default, Outlook will create and attach a Teams meeting when creating an event in calendar. To disable automatic Teams meetings, please complete the following:

Step 1. With Outlook open, select Outlook > Settings

Step 2. Select Calendar

Step 3. Under Calendar Options, navigate to Add online meetings to all events and select Configure

Step 4. Deselect Add online meeting to all meetings and Save

Step 1: Open Microsoft Outlook and click on your Calendar Tab

Step 2: Create a new Calendar Appointment, enter an Event Title, Start Time & End Time, and add your attendee(s) for the meeting. When completed, click on More Options.

Step 3: From the top left corner, click on the Zoom icon and choose the Add a Zoom Meeting option.

Step 4: A new window will open with instructions to Sign in with SSO. Please enter our Zoom domain name: emilycarru and click Continue.

Step 5: The window will forward you to the Emily Carr University Federated Login, please enter your username and password and click Login.

Step 6: Your Zoom credentials will now be saved on Microsoft Outlook and the meeting link including passcodes and additional Zoom Meeting info will be automatically added to your Calendar Invite.

Step 7: Once you’re satisfied with all Meeting Details, such as Title, E-Mail Contact, Start Time, End Time, click on the Send Icon at the bottom left corner of the window. This will automatically send an e-mail to the attendee(s) and it will add it to your own Calendar.

2a. Click on File then Open and select Shared Calendar…

4. The calendar should open. To verify you opened the right calendar, look for a test appointment “Correct Emily Carr Meetings Calendar” on Mar 24^th at 12 pm.

Hover over an appointment to preview it, or double click to view details including links.

Yes. There is no need to connect with ECU’s VPN to access Outlook email or to use any of the other M365 applications.

A “Focused Inbox” separates your Outlook inbox into two tabs: Focused and Other. Your most important email messages are in the Focused tab, the remaining emails are in the Other tab.

If you're not satisfied with the Focused Inbox feature, you can easily disable it:

1. Click View on the menu bar

2. Click on the "Turn on Show Focused" option to disable the focused view, so that no checkmark is next to the option

With Outlook open, select View > Reading Pane > Right or Below or Hidden

1. Open Outlook and at the top left, select Outlook > Settings

2. Select Fonts

3. Select the Font option to change the default fonts for New Mail, Replies and/or Forwards.
The Fallback font for preview messages setting determines how a font will display if a font is not supported.

3. Deselect the notifications or sounds for new emails and events of your choosing

We recommend Thunderbird users adopt Outlook because it integrates better with our new email system. Apple Mail and Calenders do work well with Exchange/Outlook accounts though, and — unlike Thunderbird — are officially supported.

There could a variety of reasons for this.

For example. if you have been using Apple mail or Thunderbird, you may have been saving some of your emails locally on your computer rather than on ECU’s mail server. And Outlook will only initially retrieve email that has been stored on ECU servers, not on users’ personal devices.

1.Open Thunderbird, and select the Address Book tab

2.Select the Address Book that you are exporting and select the “…” → Export
o Only Address Books can be exported, groups cannot be exported to Outlook

3.Choose where to save the file and select the VCard format

4. Navigate to the .vcf file from which it was saved. Double click on the .vcf file to open it

5. The Contacts application will open. Select Add to export the contacts to the contact book

6. Open Outlook and select the Contacts icon at the bottom left. Your Thunderbird contacts are now imported

Mail stored locally on Macs – on the Mac’s themselves and not on ECU’s mail servers – will not be initially available after migrating to Outlook. These mailboxes are generally stored in the “On My Mac” section in Apple Mail, and can be seen in Mail’s sidebar:

Complicating matters further, Outlook can’t directly import mailboxes exported from Apple Mail: the Mail application exports mailboxes in a “mbox” format that Outlook can’t import.

ITS is investigating workarounds for this issue, and if you would like to migrate locally stored Mac mailboxes to Outlook, please contact the ITS helpdesk at itservices@ecuad.ca

As well, locally stored mail will still be accessible via the Apple Mail application, and can be replied to, forwarded, etc by adding an Exchange account to the Mail app.

The steps for adding an Exchange account are outlined here: Add Exchange (Outlook) accounts to Apple Mail and Calendar using Internet Accounts

1. Download the .ics file by clicking iCal

2. Open your downloads folder in Finder and right click the .ics file > Get Info

3. Under the Open with: section, select Microsoft Outlook and then select Change All...

4. Select Continue

5. Now, if you open .ics files, they will be added to Outlook calendar if Import is selected

Although the new desktop version of Outlook for the Mac does have some advanced features and a much improved and simpler interface, it currently doesn’t support a few key tasks, including the ability to make Contact lists or create locally stored mailbox folders.

And while these features should be included in upcoming releases of the “New” Outlook for the Mac, Microsoft has not yet announced when these will be available.

However missing features — such as Contact lists — can be restored by switching from "New Outlook" to "Legacy Outlook" .

Once the application is launched, simply toggle the "New Outlook" checkbox under Outlook in the Mac's Finder menu bar:

Users can also switch between the “New” and “Legacy” versions of Outlook at any time simply by checking or unchecking “"New Outlook” under Outlook in the Mac's Finder menu bar
