Student Services
The information contained within the Student Services section of this web site is primarily for the use of registered Emily Carr students. Prospective students should refer to the Undergraduate Admissions section of the website for information about the application process or contact the Admissions office directly at: admissions@ecuad.ca.
Student Services Office Hours
The Student Services office is located in room 100 North Building, directly behind the Reception area. The office is closed on weekends and statutory holidays.

Attendance and Student Responsibility
Students are reminded that attendance is mandatory. If a student is unable to attend the first session of a course, they must contact the faculty by e-mail a minimum of 48 hours before the start of the course. Faculty e-mail addresses can be found through the Employee Directory or by clicking on the faculty name associated with the course on the insideEC site.
During the in-person add/drop period at the start of the fall and spring semesters, faculty reserve the right to remove those students who fail to give adequate notice and to open that space to students on the waitlist.
Protection of Privacy
Due to Protection of Privacy legislation, Emily Carr cannot assist or give student record access to a third party (including family members) without written permission from the student. If a student wishes to provide a friend or family member access to their student record they must fill out the following form and submit it to Student Services. The document will remain valid for the duration of the student's studies at Emily Carr unless otherwise notified in writing.

Academic Advising
The Academic Advising Office provides current students with assistance and advice in program requirements and options. Faculty advisors are available, by appointment, to explain specific course requirements and offer assistance in designing elective and alternative options within a student's program. Access to faculty advisors in the summer semester is limited. The Academic Advising Office also offers information on Directed Studies.

Grad Requirement Form
Second, third and fourth year students have Grad Requirement Forms which outline the requirements for their program at Emily Carr. The form indicates courses that have been completed at Emily Carr as well as courses for which transfer credit has been granted. Students are responsible for ensuring the accuracy of their form. Questions regarding the Grad Requirement Form can be directed to Student Services, Records & Registration.

Course Load Requirement
The required full-time course load is 15 to 18 credits:
- 9 to 12 credits of studio based course work
- 3 to 6 credits of critical studies course work
Students can consult their Grad Requirement Form to find out the number of credits needed for the current semester.
Students must be enrolled in at least 9 credits to be eligible for a BC Student Loan and 12 credits to maintain a BC Arts Council Scholarship and/or an Emily Carr tuition scholarship. Please visit Financial Aid + Awards for more information on student loans and scholarships.
The maximum allowable course load is 18 credits and during online registration, only 12 of those credits can be studio based courses.
Leave of Absence
Students may apply for a leave of absence by submitting a written request to the Associate Registrar, Records & Registration in Student Services. A leave may be granted for up to one year in which a student is guaranteed a space in his/her program upon return. Students who are away for more than one year are required to reapply for admission with a portfolio.
North Island College students submit their written request to the NIC/Emily Carr Coordinator. Their request will then be forwarded to the Associate Registrar, Records & Registration.
Fall and Spring Semester Leave of Absence Request Deadlines
- If a student applies for a leave of absence after the start of classes, it will be treated as a withdrawal and tuition fees will be assessed. Please see the withdrawal policy.

Course Packs
Some Critical Studies courses require a course pack. Students can purchase their course pack on-line. For more information visit Supplies + Texts.
Course Materials
Some courses have ancillary fees. For all courses, students are responsible for purchasing materials for individual projects. It is recommended that full-time students budget up to $2500 CDN per academic year for books and supplies.
E-mail Correspondence
All students have been assigned an Emily Carr e-mail address. All official University communications will be sent exclusively to this University E-mail Address (UEA). Students are encouraged to respond to messages and clear their mailboxes regularly to ensure that new messages will be able to come through.

Grades
Students can view final grades through insideEC by selecting 'Grades' under the 'Academic Profile' heading.
Student ID Cards
Student ID cards are required to gain access to the buildings after hours, to use the Library and Audio/Visual Department and to buy supplies at student rates from Opus Framing & Art Supplies. ID card photos are taken in the AV department. Students needing a new ID card can visit the A/V Department during their office hours.
Students must have their course registration receipt (course schedule) with them to initiate the processing of their ID card. Course schedules can be printed off the insideEC website. Cost of ID card photos is $5.00 which can be paid at the Financial Services Office, room 202 NB.
ID card validation stickers are available in the Financial Services Office upon proof of fee payment.
After the first few days of classes, students who find their ID card is not giving them the building access they need for their classes should go to the Facilities Office, room 200 NB, to have their card access updated.
