Academic policies and regulations dealing with issues related to student performance can be found in the "Emily's A to Z" student guide.

 

Protection of Privacy

Due to Protection of Privacy legislation, Emily Carr cannot assist or give student record access to a third party without written permission from the student. A release form can be filled out by the student and will be kept on file in Student Services for the duration of the student's studies, unless otherwise notified in writing. Withdrawal Policy

Dropping all courses (or de-registration for non-payment) constitutes a withdrawal from the University. If you decide to withdraw, even before the semester starts, charges will apply.

If you apply for a Leave of Absence after the start of classes, it will be treated as a withdrawal and tuition fees will be assessed.

In order to withdraw from the University you must submit an official withdrawal form to Student Services. Approved withdrawal will result in the assignment of the "W" grade for all courses with no academic penalty.

Fall + Spring Semester Deadlines
Dropping all courses (or de-registration for non-payment) constitutes a withdrawal from the University. Any request to drop a course after the add/drop period is processed as a withdrawal. Withdrawal forms must be submitted to Student Services no later than 4:30PM on the drop deadline date. Withdrawal forms are available here.  (see Academic Schedule for specific deadline dates)

Withdrawal requests:

  • received before the end of the semester drop period are eligible for a 75% refund and the "W" grade will be assigned.
  • received after the semester drop period are not eligible for any refund and the "W" grade will be assigned.
  • received after the withdrawal deadline are not eligible for any refund and will result in an "F" grade being assigned.

Summer Semester
Dropping all courses (or de-registration for non-payment) constitutes a withdrawal from the University. Please see the summer semester registration page for withdrawal deadlines.

Leave of Absence

Students may apply for a leave of absence by submitting a Leave of Absence Request form to the Director, Records,Registration + Advising in Student Services. A leave may be granted for up to one year in which a student is guaranteed a space in his/her program upon return. Students who are away for more than one year are required to reapply for admission with a portfolio.

 Grading System

The following is the grading policy and percentage conversion scale approved for use by faculty, and effective September 1998:

A+ 4.33 95-100 Distinguished achievement
A 4.00 90-94 Outstanding achievement
A- 3.67 85-89 Excellent achievement
B+ 3.33 80-84 Very Good achievement
B 3.00 75-79 Commendable achievement
B- 2.67 70-74 Good
C+ 2.33 65-69 Competent
C 2.00 60-64 Satisfactory
C- 1.67 55-59 Pass
D 1.00 50-54 Marginal Pass
F 0.00 0-49 Fail*
W Withdrawal

 *Failed courses - Failed courses may be repeated, however, both course attempts will be counted in the cumulative grade point average.

An incomplete grade may be granted by the faculty member in cases where you are unable to complete course work because of circumstances beyond your own control. Such circumstances may be medical or of a personal nature and you may be required to provide documentary evidence. Accessibility Services can provide documentation for clients of that office.

All incomplete grades must include a backup letter grade. Final grades for incompletes must be submitted by the end of the second week of class of the next semester for fall courses and by the last faculty day for spring courses. Failure to complete the course work by the deadline will result in the backup grade being assigned. An extension of an incomplete grade may only be granted by the Dean.

Code of Conduct

The University expects all members of our community to conduct themselves with respect for the rights of others. A student may be suspended or dismissed from the University should he or she violate those rights.

The University makes every attempt to ensure that no student, employee, or guest is discriminated against on the grounds of race, national origin, colour, creed, religious affiliation, age, physical ability, gender, or sexual orientation. If you suspect you are being discriminated against, please consult a counselor or the Dean.
